Document Management System / Document Control

Internetwork Consulting LLC is proud to announce the release of incArchivador: our document archive system. This application is built to provide the features required by enterprise organizations. From Active Directory integration, to security and audit trails. Our document archive management system was designed to integrate into other business line of applications for the standardized naming and filling of business documents. This increases efficiency through consistency and uniformity.

Integration

incArchivador was designed so that documents being imported are require to fit a predefined taxonomy. This taxonomy employs a lookup feature that constructs the folder and file name based upon 'fields' or values provided by the third party database or the user. This requires that the supporting documentation has it aggregate information entered into the primary system like an accounting package. When importing the invoice of record, the system can lookup the invoice number and name the file for the user.

Connections

Our document archive management system work with most back-end databases: Microsoft SQL, MySQL, OLE DB, ADO DB, and ODBC. If your documents relate to data in any of these systems, we can use and relate your documents to those records. This includes QuickBooks, Peachtree, MAS, Microsoft Dynamics, SugarCRM, Sage ACT, OpenBravo, and custom developed systems!

Enhanced Security

Our document archive management system was built with security in mind. We considered system security from eavesdropping, database level connections, unauthorized computers, and users. The system is built on Windows to identify the user and determine group membership. All files and folder inherit the parent folder's permissions. Access to taxonomy configurations, connections, lookups, and security settings is allowed by administrators only.

On the database level, the connection is encrypted as a requirement of the connection string. The application's database user has a 32 character randomized password. The connection string and credentials are Triple DES encrypted during license request and when stored on the computers. These license keys are specific to each machine. This ensures that the database access only by our application.

Versioning

When considering the only thing constant in business is change, we need a way to track the changes over time. We created a versioning system that saves each revision of the document, along with who, where, and when. These revisions can be access by selecting the files properties and double clicking a revision.

File checkout are recorded in the file properties. For abandoned checked, an administrator can force a check-in. To check in, simply find the file in the archives and tell it to check the file in.
